Property Manager Vacate Repair Checklist: Turning an Exit Report Into a Work Order

A long exit report becomes easier to manage when the repair items are converted into a clean scope with photos, locations, priorities and owner approval.

Separate observations from actions

An inspection report may contain notes that do not all require work. Convert actual repair items into a short action list.

Group by trade or task type

Put plaster and paint together, door hardware together, tile items together and specialist licensed work in its own section.

Mark access and deadlines

State whether the property is vacant, where keys are held and the date photography, cleaning or a new tenancy is booked.

Attach photos in the same order

Number photos to match the repair list. This reduces clarification calls and makes quoting faster.

Close the loop with completion evidence

Keep completion photos and invoices with the property file so owners can see what was actually done.
